How it works
How AI calling works, step by step
Every AI calling campaign has three parts: what you set up before the calls, what happens during each call, and what your team receives afterwards.
The chat opens in a new tab. No sign-up needed.
Before the calls
- The goal: for example, confirm a site visit or remind about a renewal
- The script: the opening line, the questions, answers to common questions and the closing
- The list: names and numbers of people who expect your call
- The schedule: the days and hours to call, and when to retry unanswered calls
- The rules: when to transfer to a person and when to stop calling
During a call, in plain words
Listening
What the person says is turned into text as they speak.
Understanding
The AI works out what the person means, even with short or mixed-language answers.
Replying
It picks the next line from your script, or answers from your information.
Speaking
The reply is spoken back in a natural voice, and the conversation continues.
What can happen on a call
- Answered
- A person picked up and the conversation took place.
- No answer
- The phone rang but nobody picked up.
- Busy
- The line was engaged.
- Voicemail
- The call reached a voicemail or a recorded message.
- Failed
- The call could not be connected, for example because the phone was switched off or there was a network problem.
- Blocked
- The call was not placed, for example because the number is on a do-not-call list.

Live transfer
When the person is interested or asks for someone, the AI agent can transfer the call to your team while they are still on the line. Transfers work best when someone is free to pick up, so plan who is available during calling hours.
After the call
- The outcome of each call: interested, call back later, not interested or wrong number
- A recording and a short summary, where available
- Leads marked for your team to follow up
- Numbers to retry at another time
What makes calls go well
- A first sentence that says who is calling and why
- Short questions, one at a time
- A clean list of people who expect your call
- Calling at times that suit the person
- Reviewing a few calls every week and improving the script
Questions people ask
How long does an AI call last?
It depends on the goal. A reminder or a confirmation is short; a call that qualifies a lead with several questions takes longer. Shorter scripts make it easier for people to stay on the line.
Can the AI agent call back later if the person is busy?
It can note the request and schedule a follow-up for another time, if the campaign is set up for retries.
Can I listen to the calls?
AI calling platforms usually keep a recording and a summary of each call for a period. Ask your provider how long recordings are kept and who can access them.
